Setup & onboarding

Most businesses are fully operational within 3–5 business days. Setup is a one-time fee; once you’re running, you’re running.

We migrate your suppliers, customers, items, opening stock, and pricing from your existing system or spreadsheets.

Hands-on walkthrough with your team. We stay on call through your first week so nothing falls through the cracks.

Switching credit

Switching from another system? We’ll knock up to $1,900 off your setup.

Show us your most recent paid invoice from your current accounting, ERP, CRM, or job-management software — Xero, MYOB, QuickBooks, NetSuite, Cin7, simPRO, anyone. We’ll discount your onboarding by the value of that invoice, up to the full $1,900.

Stuck on a multi-year NetSuite contract with a five-figure exit fee? We can’t make that go away, but we’ll erase your setup cost entirely. Invoice must be dated within the last 12 months; credit caps at the onboarding fee, minimum $0, no cash equivalent. Full wording in our Terms of Service §6.

The platform fee covers the system itself: Australian-hosted infrastructure, all modules, Nova AI, multi-location support, and email support. It’s a flat monthly charge on top of per-seat costs — it doesn’t scale with users, so the more seats you add, the smaller it looks as a proportion of the bill.

Yes. Most customers have a mix of full seats for office staff and timesheet seats for workshop or field workers. You only pay for what each person needs to do their job.

Yes — once you’re set up, there are no recurring onboarding fees. If you later need us to reconfigure a module or add a second location, we can quote that separately, but most businesses never need it.

We offer a guided demo and a pilot period with your own data. Contact us to arrange this — we want to make sure the system is the right fit before you commit to anything.

Discounts are published, not negotiated. 5–9 seats get 10% off the per-seat rate; 10+ seats get 15% off; 25+ seats are custom. The discount applies to your whole seat count, across any mix of full and timesheet seats.

Capped at CPI + 3% per year, in writing, for as long as you’re a customer. We’ve all seen the horror stories of legacy ERPs hiking renewals 30% or more — that’s not a relationship, that’s a trap. Our contracts say what they say, every year.

Yes — really included. Every seat ships with Nova at no extra charge. No per-token meter, no monthly AI bill, no “upgrade to use AI” tier. We absorb the AI compute as part of the platform.

We do reserve the right to talk to you about a custom rate if your usage gets unusually heavy — say, if you start routing tens of thousands of emails or invoices per month through Nova. In that case we’ll give you a friendly call first and work out something fair. We’ve never had to do this with a normal small business.

If you’d prefer hard limits anyway, AIREP supports optional admin spend caps at the company, branch, or user level — ask us to enable them.

Yes — if it helps you. Basic 10-page business websites start at $2,500 (e-commerce / product catalogue sites are more involved and quoted separately). It’s a separate engagement to AIREP — we just find it’s often useful to handle both at the same time so the website and the ERP behind it feel like one business, not two. Reach out if you’d like to bundle.

We don’t hold your data hostage. NetSuite charges tens of thousands a year for read-only access to your own data after you cancel. QuickBooks Online deletes it after 12 months — the ATO needs you to keep records for 7 years. Xero locks you out the day a payment fails. The EU made these practices illegal in September 2025; Australia hasn’t caught up. We’re not waiting for them to.

Free data export, any format, forever. Email us and you get a full export — CSV, JSON, Excel, full PostgreSQL dump, whatever you need — within five business days. No extraction fee. No caretaker license. No 12-month deletion clock. The right to request an export lasts seven years after you cancel.

Month-to-month. No exit fee. You only pay for the calendar month you cancel in. No minimum term, no notice period, no remaining-term liability. Cancel on the 28th, we send the export, you’re done. The full wording is in our Terms of Service (clauses 4 and 14).
